*Job Summary*
The Sales Administrator provides administrative and technical support to the Sales Team and is a vital link to the Production Team and Quality Team. Key responsibilities include managing databases, handling customer inquiries, coordinating sales meetings, assisting with quality assurance tasks, and contributing to lead generation efforts. Attention to detail and effective communication are essential for success in this role.
*Duties*
* Maintain accurate records and documentation relating to ISO compliance and participate in Audits as required.
* Manage and update customer and vendor databases.
* Handle emails and inquiries in the absence of Sales Representatives and as required.
* Coordinate sales meetings including scheduling, preparing agendas, and taking minutes.
* Assist with customer service including obtaining missing information, answering customer inquiries, communicating important customer feedback to appropriate stakeholders, collecting order information, relaying shipping details.
* Prepare and distribute sales related documents such as quotes, contracts, and sales reports.
* Develop monthly sales reports and statistics.
* Data entry, filing, and records maintenance.
* Conduct quality checks on work orders, purchase orders, digital documentation, etc. for completeness and accuracy.
* Assist with SCAR and Deviation paperwork.
* Interpret drawings and customer specifications.
* Generate leads and track opportunities.
* Identify necessary steps to secure new business for each opportunity.
* Gather and submit necessary documentation.
* Provide relief support for Logistics and as required.
* Perform other duties as assigned.
*Knowledge and Skills*
* Highly proficient in Microsoft Office Suite (especially Excel and Outlook)
* Experience in Sales
* Post-secondary education in Business Administration
* Business understanding of costing including materials, substitutions, and machine operations
* Experience in industrial manufacturing an asset
* Experience with ISO 9001:2015 an asset
* Experience with an ERP system an asset
* Knowledge of machining, materials, and fabrication an asset
* Strong attention to detail and accuracy in data entry
* Ability to establish and maintain customer relationships
* Strong organizational, interpersonal, and communication skills, both oral and written
* Proactive approach to problem solving
* Ability to multi-task and prioritize workload to meet strict deadlines
* Work effectively in a team environment
*Working Conditions*
* The work week is Monday to Friday, 8 hours per day, starting at 8:00 AM to 4:30 PM, with a 30-minute unpaid lunch.
* Significant interaction within the machine shop which requires the use of safety equipment including but not limited to eye safety glasses, hearing protection, and safety footwear. Loose-fitting clothes, jewelry, long nails, loose long hair are not permitted when working near machinery.
Job Type: Full-time
Pay: $23.00-$28.00 per hour
